Issue Description
Customers may ask how to correctly lock a vehicle's tachograph to a company card and how to verify that the lock has been successfully applied.
A common setup is that the customer has two company cards:
- One company card stored securely at the office or at their local Scania Dealer.
- One company card used for downloading tachograph data or operational purposes at the card hotel.
To establish company ownership of tachograph data, the vehicle must be locked to the company card directly through the tachograph unit. Customers may expect immediate confirmation that the lock has been applied; however, confirmation can only be verified after tachograph data has been downloaded and processed.
Resolution / Workaround
To lock a vehicle to a company card:
- Insert the company card into the tachograph of the vehicle that is not yet locked to the company.
- Follow the instructions displayed on the tachograph to perform the company lock.
- Complete the locking process according to the tachograph manufacturer's instructions.
Important Information
A successful lock cannot be validated immediately.
To confirm that the lock has been correctly applied:
- A tachograph download must occur after the company lock has been performed.
- The earliest validation can take place on the day following the lock.
- Data from at least one completed day is required for the information to be processed and validated.
- Once the download has been completed and processed, the company lock status can be verified through the relevant tachograph reporting tools.
The customer can also do a printout of the technical data section from the tachograph (truck))(see https://optacstoneridge.files.com/preview/f/7a7fc0dbd99eebca/Stoneridge_-_SE5000_Smart_2_-_Drivers_and_Company_Manual_SE.pdf (Read more on page 40, printout on page 82 row 45)

Step-by-Step Instructions (troubleshooting)
- Confirm that the customer has a valid company card.
- Verify that the vehicle is not already locked to another company card.
- Insert the company card into the tachograph.
- Follow the tachograph menu instructions to perform a company lock.
- Remove the card once the locking procedure has been completed.
- Ensure that a tachograph download is performed after the lock was applied.
- Verify the lock status in the available tachograph reporting system after the download has been processed.
- If the lock status is still not visible, verify that the download was successful and contains data from a completed day.
Escalation
Escalate to 2nd-line support if:
- The company lock procedure cannot be completed in the tachograph.
- The lock does not appear after a successful download and processing cycle.
- Downloaded files do not contain the expected company lock information.
When escalating, include:
- Vehicle VIN or registration number.
- Date and time when the company lock was performed.
- Company card number (where permitted).
- Date of the first download performed after the lock.
- Screenshots or evidence from the tachograph and STS Portal.
